Arctera Lock-In. Why Archive Exit Planning Matters More Than Ever

For many organisations, email archiving is one of the least visible components of the IT estate. It quietly preserves information, supports compliance obligations and remains largely unnoticed until a regulatory request, legal investigation, migration programme or contract renewal brings it into focus.

Over the last year, TrueSwift has spoken with a growing number of organisations reviewing their Arctera archive estates following significant commercial and operational concerns. An archive platform's primary purpose is to preserve information and make it accessible when needed. That sounds simple but when organisations begin planning a migration, responding to a legal request, preparing for an acquisition, or reviewing a software renewal, they often discover that exporting large volumes of historical data is far more complex than expected.

Several customers, partners and industry observers have recently raised questions regarding the practical limitations, timescales and commercial conditions associated with large-scale data extraction from certain archive environments. For organisations holding tens or even hundreds of terabytes of archived information, understanding how data can be retrieved and how long that process could take has become an increasingly important consideration.

Is Arctera following a familiar enterprise software playbook?

The recent acquisition of Arctera by Cloud Software Group has prompted discussion throughout the market. Cloud Software Group is led by Tom Krause, the former CFO of Broadcom, and industry commentators have drawn parallels with the commercial changes seen following previous enterprise software acquisitions involving VMware, Citrix and other large software portfolios. 

Industry commentators* have noted similarities between Cloud Software Group's acquisition strategy and commercial approaches that have been observed elsewhere in the enterprise software market following major acquisitions. Commentators have pointed to factors including:

  • Licence changes
  • Increased pricing
  • Greater focus on large enterprise customers
  • Changes to channel strategy
  • Reduced emphasis on smaller customers and partners

Whether similar outcomes ultimately emerge within Arctera is yet to be seen. In the meantime, organisations are wise to evaluate the commercial and operational implications of the acquisition now rather than waiting until their next renewal.

Don’t wait till renewal before planning your migration

In reality, archive exits often require:

  • Discovery and assessment work
  • Export validation
  • Data extraction
  • Data transformation
  • User mapping and remediation
  • Target platform onboarding
  • Data ingestion and validation

We believe customers should always retain practical control over their information. Archive vendors should compete on capability, service and innovation — not on how difficult it is for customers to leave. Whether an organisation remains with Arctera, migrates to Microsoft 365, moves to Barracuda, adopts Proofpoint or chooses another archiving platform entirely, there should be a clear, predictable and commercially reasonable path to accessing and exporting its own data. To be best positioned for the future doesn’t necessarily mean having the newest archive platforms. Organisations should always know exactly how they would leave their existing platform.

2. What happens if we choose not to renew? Understand your contractual position before the renewal window appears

3. What are the full costs of exiting? Licence costs are only one component of the total cost of ownership

4. How long would a complete migration take? Many organisations underestimate the amount of effort required

5. Do we have a documented exit plan? If not, now is the time to create one

Archive strategies should be reviewed with the same rigour as backup, disaster recovery and business continuity plans. Organisations may never need to leave their archive platform, but they should always know that they can. The ability to access and move your own information should not be a future project, it should be a capability you understand today.
